Time tracking

Employees clock in the start, breaks and end of their day from a phone or a shared RFID kiosk. Overtime, lateness, leave and payroll calculate themselves — you just check the result at the end of the month.

What you get

Everything you need for time and attendance

Clock in from a phone or an RFID kiosk

An employee clocks in the start, a break and the end of the day from their own phone through the browser — or from one shared device set up at the entrance as an RFID kiosk.

RFID kiosk with no employee limit

One device set up as a kiosk handles any number of employees — no limit and no extra fees for additional people.

Clock-in restricted to RFID only

If you prefer, phone clock-in can be disabled and clocking in enforced through an RFID card at the kiosk only.

Optional GPS location

Every clock-in can save where the employee actually was — useful for fieldwork or for staff working across several locations.

Automatic clock-out

The system can automatically clock the employee out after their planned working time if they forget to clock out — no inflated hours in the record.

Overtime at different rates

Overtime on workdays, at night, or on public holidays can be settled at different, pre-set rates.

Work on public holidays

The system recognizes statutory days off and calculates working time on them differently, according to your set rules.

Flexible or fixed hours

Set each employee individually: a specific schedule for every day of the week, or flexible hours where only total time worked counts.

Time corrections with a change history

Every correction to an entry shows up in the history — it's clear who changed a given time entry, and when.

Notes on a working day

A note can be added to any day — e.g. the reason for lateness or leaving early — visible when payroll is settled.

Break accounting

Breaks are clocked the same way as the start and end of the day — the system deducts them from working time automatically and factors them into payroll.

Every leave type, plus absences

Annual, on-demand, occasional, childcare, unpaid, and sick leave — plus absences recorded without a leave request (justified and unjustified) — all logged in the same place, with an automatic effect on the month's payroll.

Night hours pay a better rate

Hours worked during an employee's set night-time window are automatically paid at a higher rate — tracked separately from overtime and weekend work.

Paid and unpaid on-call duty

Besides regular working hours, you can also log on-call duty — paid, at an agreed hourly rate, or unpaid — without mixing it into regular-shift hours.

Compliant time-record card

A complete time-record card compliant with the Polish §6 regulation, ready to print or export as PDF, Excel, or DOC — one click, no manual copying into a separate spreadsheet.

Advances, penalties and bonuses

Advance requests, penalties and bonuses assigned to a specific employee, all in one place, with no separate notebooks or spreadsheets.

Reminders for check-ups, safety training and contract end

The system reminds you of an upcoming periodic medical check, safety (H&S) training or the end of an employee's contract — before the deadline passes.

Records sent to the accounting office

One click on "Send to accounting" opens up the time record to the accounting office — no manual exporting and sending every month. Access can be revoked at any time.

Payslip ready for payout

At the end of the month the panel puts together hours worked, overtime, advances and deductions into a clear payslip on its own.

Questions

Frequently asked

Can an employer track an employee's location by GPS?

Location on clock-in is optional and is only saved at the moment of clocking in or out — it is not continuous real-time tracking. Turning this feature on and informing employees is the employer's responsibility under GDPR and local labor law — we recommend checking your internal policy with whoever handles personal data protection at your company.

How does the system calculate overtime and lateness?

The system compares actual clock-in times with the employee's planned schedule. Overtime can be settled at different rates — on workdays, at night and on holidays — and lateness is only counted on the first clock-in of the day.

What happens if an employee forgets to clock out?

The system can automatically clock the employee out after their planned working time so their hours don't end up inflated in the record.

Can an incorrect time entry be corrected manually?

Yes. The person running the company can add, correct or remove an employee's entry at any time — every such correction is logged in a change history, so it's clear who made it and when.

Does the tracker work for employees with flexible hours?

Yes — flexible hours can be enabled per employee, or a specific schedule can be assigned for each day of the week.

Can clock-ins be limited to the RFID kiosk only?

Yes — phone clock-in can be disabled and clocking in enforced through an RFID card at the kiosk device only.

Is the number of employees who can use the RFID kiosk limited?

No — one device set up as a kiosk handles any number of employees, with no extra fees for additional people.

Does the system remind about periodic medical checks and safety training?

Yes — the panel can remind you of an upcoming medical check, safety (H&S) training, or the end of an employee's contract before the deadline passes.

Can an employee request a pay advance themselves?

Yes, an employee can submit an advance request from their own account — it goes straight to the person running the company for approval.

Does the time record reach the accounting office automatically?

Only once you click "Send to accounting" — a single, simple company-wide consent, after which the office sees the time record on an ongoing basis, without data being handed over separately every month. Consent can be withdrawn at any time.

Do I need to buy extra hardware, like a card reader?

No. Employees clock in from their own phone through the browser, or from one shared device set up as an RFID kiosk — no special reader or terminal outside Tekomat's offering is needed.

How much does the time tracker cost in Tekomat?

The time tracker is part of the Tekomat panel — not a separate, additionally paid product. Current pricing is on the homepage, and the first 30 days can be tested with no obligation.
